Your side of it, from the morning to the handover
What you actually do in a day, and where ArkilaHub takes the manual part out of it.
Six moments, and what changes in each
From the enquiry in the morning to the report at the end of the month. Items marked Pro are part of every trial, and of Pro after it.
-
A booking comes in
It arrives as a record rather than a message. You see the vehicle, the dates, who they are and what they uploaded, all in one place, and the vehicle is provisionally held so nobody else can take it while you decide.
- Self drive or with driver, hourly through to monthly
- Availability rechecked at the moment of confirming, so two customers cannot take the same vehicle
- Their driver's licence and documents attached to the booking, not to a chat
- Approve it, or turn it down with a reason they can read
-
They pay you
The same way they pay you now: GCash, Maya, bank transfer or cash. The difference is that the receipt they upload sits on the booking, and you, or an authorised staff member on Pro, mark it verified. ArkilaHub does not touch the money.
- All four payment methods recorded the same way
- Customer uploads the receipt themselves, against the booking
- Nothing is treated as paid until you or an authorised staff member verifies it
- Deposits tracked separately from revenue: held, partly refunded, fully refunded Pro
-
You get the vehicle ready
Assign the vehicle, and the driver where the booking needs one. The pre-rental inspection is photographs taken on your phone, attached to the booking, so the vehicle's condition at handover is on record rather than in an argument.
- Driver assignment that will not double-book a driver
- Photo inspection before it leaves, kept with the booking Pro
- Rental agreement generated and signed on screen Pro
- Drivers see their own trips without you messaging them
-
It comes back
Record the return and the second inspection. Anything extra they owe, whether fuel, a late return or damage found on the way round, is added to the same booking, and the deposit is settled against it.
- Return inspection with photos to compare against the handover Pro
- Extra charges added to the booking rather than collected separately Pro
- Deposit refunded in full or in part, with the difference recorded Pro
- Damage recorded against the vehicle, not just the booking Pro
-
Between rentals
The work nobody bills for. Service records, and reminders before a registration or an insurance policy runs out, so a vehicle is not taken off the road by a date that nobody was watching.
- Maintenance records per vehicle Pro
- Reminders before registration and insurance expire Pro
- Vehicle documents kept with the vehicle Pro
- Block a vehicle out when it is off the road, so it stops being bookable
-
At the end of the month
Revenue, which vehicles earned it, how well the fleet is being used, and how customers are paying you, filterable by date range.
- Revenue and utilisation over any date range Pro
- Best and worst performing vehicles Pro
- A breakdown of how customers paid Pro
- Vehicle performance exports to CSV for your accountant Pro
Built for the way your rentals actually run
Every booking is one of two kinds, and the system knows the difference. Run one, or run both side by side.
Self-drive rentals
The customer drives, so the checks happen before the keys leave. Every document arrives on the booking instead of in a chat.
- 1 Customer uploads their licence, and a selfie and ID if you ask for them
- 2 You review the licence before you confirm
- 3 Deposit held and tracked apart from rental income Pro
- 4 Photos at release and again on return Pro
With-driver rentals
You provide the driver, so the booking needs a pickup, a destination and somebody free to drive it.
- 1 Customer gives the pickup point and where they are going
- 2 Assign a driver who is not already booked
- 3 The driver sees the trip on their own screen
- 4 Each stage of the trip updates the booking
Van and group rentals
Bigger vehicles and bigger parties: how many are travelling, and where the van is allowed to go, are part of the booking.
- 1 Passenger count on every booking
- 2 Day rates for larger vehicles
- 3 Self drive or with a driver
- 4 Limit where a vehicle may be taken
Airport transfers and tours
Runs to and from the airport and day trips are with-driver bookings with a destination, so they sit in the same schedule as everything else.
- 1 Pickup time and place on the booking
- 2 Destination given by the customer
- 3 Driver assigned from the same calendar
- 4 Tolls or waiting time added to the same record
When it is not only you
You do not need any of this on day one, and it is there when you do.
