Terms of service

The agreement between ArkilaHub and the rental businesses that use it.

Last updated 11 September 2026

Who this agreement is between

These terms are an agreement between ArkilaHub (“we”, “us”) and the business that creates an ArkilaHub account (“you”). By creating an account you confirm that you are authorised to act for that business and that you accept these terms.

What ArkilaHub is

ArkilaHub is software for running a car rental business: a booking website for your customers, and tools for your vehicles, bookings, drivers, payment records, rental agreements and inspections. We provide the software. We do not rent vehicles, and we are not a party to any rental between you and your customers.

ArkilaHub does not collect money for you. Your customers pay you directly, by the methods you choose, and ArkilaHub keeps a record of those payments.

Your account

  • The information you give us about you and your business must be true, and kept up to date.
  • Keep your password to yourself. You are responsible for what is done in your account, including by the staff accounts you create, so tell us straight away if you think somebody has got in who should not have.
  • You decide who on your team has an account, and what each role lets them see and do.

The trial and your plan

A new account starts with 14 days of the Pro plan, free. No payment details are asked for, and nothing is charged when the trial ends: the account moves to the Free plan, with the limits shown on our pricing page.

If you choose a paid plan, you pay in advance for the term you pick, at the price shown on the pricing page when you pay. When a paid term ends without being renewed, the account moves to the Free plan. We may change our prices, but a change never affects a term you have already paid for.

Moving to the Free plan deletes nothing. Your vehicles, bookings, customers, staff accounts and files all stay; features beyond the Free plan are switched off until you upgrade again.

Your customers’ information

When customers book through your booking website, they give personal information to you, including driver’s licences and identity documents. For that information you are the personal information controller and ArkilaHub is your personal information processor, as the Data Privacy Act of 2012 (Republic Act No. 10173) uses those terms.

You are responsible for having a lawful basis to collect it, for telling your customers how you use it, and for answering their requests about it. ArkilaHub gives you a place to publish your own privacy notice, and shows your customers a standard one until you do.

As your processor, ArkilaHub will:

  • use your customers’ information only to run your account and your booking website, and never for a purpose of our own;
  • keep it confidential, and give access to it only to the people who need it to run the service;
  • protect it with organisational, physical and technical measures, including private storage for licences and identity documents, links to those files that expire after 15 minutes and need the person to be signed in, and a record of every time one is opened;
  • use other providers only to host and deliver the service (currently Hostinger for hosting, Cloudflare for network delivery and protection, and an email delivery service), and hold them to the same obligations;
  • tell you without undue delay if we learn of a breach affecting your customers’ information, and help you meet your duty to notify the National Privacy Commission and the people affected;
  • help you respond to your customers’ requests to see, correct or delete their information; and
  • when your account is closed, delete your customers’ information or return it to you, except where the law requires us to keep it.

What you may not do

You must not use ArkilaHub to break the law, to publish false or misleading listings or prices, to collect information you have no right to collect, to send messages people did not ask for, or to interfere with the service or with anybody else’s account. You are responsible for everything you publish on your booking website, including your rates, photos, policies and terms and conditions.

Your content

Your business information, vehicles, photos, customers and records remain yours. You allow us to store and display them only as needed to run your account and your booking website. If you list your business in the ArkilaHub directory of rental companies, we also show your business name, city, and vehicles with their prices there.

Keeping the service running

We work to keep ArkilaHub available and to fix problems quickly, but we cannot promise it will never be interrupted. We improve and change features over time; if a change would take away something you rely on, we will try to tell you before it happens.

Ending your account

You can stop using ArkilaHub at any time, and ask us to close your account by contacting us. When an account is closed we delete its information, after giving you a copy if you ask for one, except for records the law requires us to keep.

We may suspend or close an account that breaks these terms or puts the service or other people at risk. Where we can, we will tell you why first and give you the chance to put it right.

Liability

ArkilaHub is provided as it is. As far as the law allows, we are not liable for indirect or consequential losses, such as lost profits or lost bookings, and our total liability to you for any claim is limited to what you paid us in the twelve months before it. Nothing in these terms limits a liability that Philippine law does not allow to be limited.

Changes to these terms

We may update these terms. The date at the top shows when they last changed. If a change is significant, we will tell account owners before it takes effect, and continuing to use ArkilaHub after that means you accept the updated terms.

Law and contact

These terms are governed by the laws of the Republic of the Philippines.

How we handle your own personal information is set out in our privacy notice. For any question about these terms, message us on Messenger.
