How to track GCash payments for a car rental business

Screenshots in Messenger are proof of payment until you need to find one. A practical system for recording GCash, Maya, bank transfers and cash without a bookkeeper.

Most Philippine rental businesses get paid the same way: a customer sends a GCash transfer and then sends you a screenshot of it. It works. The problem arrives later, when you need to answer a question like "did the customer who took the Innova on the 12th ever pay the balance?" and the answer is somewhere in a chat thread from three weeks ago.

This is a filing problem, not a payments problem, and it is worth solving before it becomes an accounting one.

Why the screenshot method breaks

A GCash screenshot on its own is missing most of what makes it useful:

  • It does not say which booking it is for.
  • It does not say whether it was a deposit, a partial payment, or the balance.
  • It does not say whether it was a security deposit, which is not your money.
  • It is filed under the customer's chat thread, not under the rental.
  • If two customers pay similar amounts on the same day, the only thing distinguishing them is the reference number, which nobody wrote down.

None of that matters at three vehicles. At twelve it is the reason you cannot tell how much you actually earned last month.
